Training Cancellation Policy

Full payment is required at the time of booking unless a deposit option is explicitly offered.

  • Bookings are only confirmed once payment (deposit or full amount) has been received.
  • Where a deposit is used, the remaining balance must be paid in full no later than 7 days before the course start date.
  • Failure to do so may result in cancellation of the booking without refund of the deposit.
  • Full payment must be received no later than 7 days prior to the course start date. 
  • Payment reminders will be issued from 14 days before the course start date.
  • Failure to settle the outstanding balance by the deadline may result in cancellation of the booking and the place being offered to another delegate.

2. Deposits

  • Where a deposit option is offered, all deposits are strictly non-refundable
  • Deposits secure a place on the selected course date but do not represent full payment.
  • The remaining balance must be paid in full no later than 7 days before the course start date.
  • Failure to pay the balance by the required date will result in cancellation of the booking and loss of deposit.

3. Customer Cancellation (Full Payment Bookings)

All cancellation requests must be made in writing (email is accepted).

  • More than 14 days before the course: Full refund available, or transfer to an alternative course date (no fee).
  • 7–14 days before the course: Transfer to another course date (no fee), or 50% refund.
  • Less than 7 days before the course: No refund will be issued. Transfers may be considered at our sole discretion but are not guaranteed
  • Non-attendance (No-show) - No refund or transfer will be offered.

4. Customer Cancellation (Deposit Bookings)

All cancellation requests must be made in writing (email is accepted). 

  • Deposits are strictly non-refundable under all circumstances
  • If a customer cancels, the deposit will be retained
  • Transfers may be offered at our sole discretion, subject to availability and notice period.

5. Substitutions

Customers may send another person in their place at no extra cost, provided we are notified in advance.

6. Course Transfers

  • One transfer is permitted per booking.
  • Additional transfers may be subject to an administration fee.
  • Transfers requested less than 7 days before the course start date are not guaranteed and will be considered at our discretion.

7. Cancellation by Access Fobs Limited

We reserve the right to cancel or reschedule a course due to:

  • Insufficient bookings
  • Instructor illness
  • Unforeseen circumstances

In such cases, customers will be offered:

  • An alternative date, or
  • A full refund

Access Fobs Limited is not liable for travel, accommodation, or other costs incurred.

8. Force Majeure

Access Fobs Limited shall not be liable for any failure or delay in delivering a course where such failure is caused by circumstances beyond our reasonable control. This includes, but is not limited to, severe weather, transport disruption, utility failures, industrial action, government restrictions, or other force majeure events.

9. Consumer Rights

This policy complies with UK consumer law, including the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013.

This policy does not affect your statutory rights.
